Secretary – Litigation/Dispute

Job Description
This role focuses on delivering timely, efficient, and high-quality administrative and secretarial services, with a specific emphasis on supporting Partners and Associates. The ideal candidate will play a key role in managing day-to-day administrative tasks, particularly for the dispute resolution team.
Responsibilities
Key Duties of the role include but not limited to:
- Preparing correspondence, including formatting and finalizing documentation
- Assisting in the preparation of mediation and arbitration materials, such as briefs, evidence, and case summaries.
- Providing efficient secretarial and administrative support to lawyers in the dispute resolution practices
- Managing file systems and preparing legal documents related to ongoing disputes or case matters
- Supporting the setup of team meetings and events and managing expenses
- Maintaining attorneys’ calendars by planning and scheduling conferences, teleconferences, and depositions
- Assisting in preparing and distributing relevant documentation to authors prior to critical dates (e.g. meetings, court proceedings, settlements etc.)
- Organising couriers, conferences and functions, travel and accommodation, internal and external meetings (including room, car spaces, catering, invitations, etc.)
- Any other secretarial duties as assigned by supporting lawyers
Qualifications
- Minimum D3 or Bachelor’s degree
- Fresh graduate to 3 years of secretarial experience in a litigation/dispute resolution practice
- Experience with litigation and court forms (preferred)
- Understanding of legal terminology and dispute resolution processes (mediation, arbitration, etc.)
- Impeccable formatting – able to format documents in various apps properly
- Quick learner, diligent and thorough
- High level of accuracy and attention to detail
- Proficient in both English and Indonesian – capable of spotting spelling or grammar errors in documents
- Ability to create and maintain a sustainable filing system (both physical and electronic, e.g. SFS or similar systems)
- Tech-savvy – proficient in using essential software and hardware (e.g., for videoconferencing) and can troubleshoot simple software issues independently
- Proficient in legal documentation and Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams, Visio)
